Editor toolbar

Use the toolbar to change workflow state, revise Source text, pre-fill from TM, manage change history, work with tags and references, commit or clear selected Target rows, and change the Editor view.

Before choosing a toolbar action

The toolbar sits above the editing area. Its left side contains workflow and content actions in groups; the right side contains view, layout, Preview, side-panel, AI Agent, and CAT-tool controls. The available controls can change with the current mode, Target language, selection, file structure, and your permissions.

Focused row
Some single-row actions, such as Source revision and Insert Tag, use the row that currently has focus. If no cells are selected, Commit also uses the focused row's Target cell.
Selected cells
Batch actions use the selected Source or Target cells. Status changes require a Source-only or Target-only selection; Commit and Clear act on Target rows.
Active Target language
TM, termbase, Target-stage, spellcheck, Target history, Commit, Clear, and delivery-related results use the Target language currently selected in the Target column header.
View-only controls
View options, layout, Preview, and panel toggles change how you inspect the file. They do not rewrite Source or Target text.

Workflow state, Source revision, and TM Pre-fill

The first group appears when at least one workflow action is available to you. These actions change project content or workflow state; they are not display filters.

Source Status
Select only Source cells, then choose Active or Locked. This changes the Source workflow state for the selected rows. The control is disabled for mixed Source/Target selections or when you cannot manage Source status.
Target Stage
Select only Target cells to assign the selected rows to an available stage such as AI, Translator, Editor, Reviewer, Proofreader, Approved, or Locked. The menu reflects your permission and the current workflow; selecting a stage changes the selected rows in the active Target language.
Revise Source
Opens the Source revision for the focused or selected row. It appears only when Source revision is permitted and is enabled when a row is available. If that row was already revised, the tooltip changes to View Source Revision. Press F2 to open the same action.
TM Pre-fill
Finds TM matches for empty, editable Target rows and lets you preview the matches before applying them. If Target cells are selected, the scope is that selection; otherwise it checks all eligible rows. Rows with text, an unsaved draft, an Approved or Locked status, or another user's lock are skipped. Applied matches are marked as pre-filled rather than as a human commit.

History, Undo, and Redo

This group manages actions recorded during the current editing session. It is different from the History section in the side panel, which shows durable history for the currently selected row and Target language.

History
Opens the session action timeline. Use it to inspect what changed and preview a restoration before applying it. Opening the timeline does not change the file.
Undo
Restores the latest action that is currently undoable. The button is disabled when there is no compatible action or while another history change is being applied. A confirmed Undo is itself recorded in the timeline.
Redo
Reapplies an action after a compatible Undo. It is available only while the latest history state can be redone; making a new incompatible edit can make Redo unavailable.

Regex tags, Commit, and Clear

Apply Regex
Opens Regex Rules. Choose which project rules are active and how detected tags are displayed and colored in the Editor. This changes rule/display settings; it does not run a text replacement across the selected rows.
Insert Tag
Inserts an available tag at the caret in the focused editable Target cell. The button is disabled when the project has no active regex rules. Inserting a tag changes the current draft; commit the row when it is ready.
Commit
Commits the selected Target rows in the active Target language. If nothing is selected, it uses the focused row. It saves the current draft or confirms existing Target content as Translated, skips rows that are read-only or locked for you, and records the successful action in session History.
Clear
Clears content from selected editable Target rows after confirmation and returns them to the not-started state. It is enabled only for a Target-only selection containing clearable text or drafts. When permitted, the confirmation can also clear Target issues for the same rows.

Commit or clear selected Target rows

  1. Select only the Target cells that you intend to change. Use the active Target-language header to verify the language.
  2. Choose Commit to preserve and confirm the text, or Clear to remove it. Review the Clear confirmation before continuing.
  3. Check the changed Target text and status in the table. Rows that were read-only or locked are not changed.

After completion: Committed rows show their confirmed Target content and workflow state; cleared rows are empty and return to the initial Target state. The action is available in session History.

TM, termbase, Issues, and spellcheck

Search TM
Opens Translation Memory search for the active Target language. Use its search and filters to inspect matching Source/Target pairs. The action is unavailable in metadata mode or before a Target language is selected; opening search does not change the file.
Add Term
Opens the term-entry form using the current Source and Target languages and, when available, the focused cell as context. Saving creates or updates termbase data; opening or canceling the form does not change the translation. It is unavailable in metadata mode or when the language pair is incomplete.
Issues
Opens the issue workspace for the current selection and active Target language. You can browse reports, questions, and comments and, when permitted, create or manage them. Issues are collaboration records; they do not replace spellcheck suggestions and do not edit Target text by themselves.
Spellcheck
The menu toggles visible spelling suggestions and opens Manage spellcheck termbase. Hiding suggestions changes only the view. Adding an allowed term changes which matching findings are suppressed; it does not rewrite the current Target text.

View options, layout, and panels

The controls on the right change presentation and workspace layout. They do not commit, clear, or deliver content.

View options — All
Show whitespace makes spaces, tabs, and non-breaking spaces visible as markers. The underlying text is unchanged.
View options — Source
Show speaker info displays a speaker badge before Source text when the file provides speaker information. It does not add speaker data to rows that do not have it.
View options — Target
Enable length guide adds a visual guide to Target cells. Choose fullwidth or halfwidth measurement, then use a file-provided length/line limit when available or enter a custom limit. This is a review guide and does not truncate or alter the translation.
Horizontal / Vertical
Horizontal uses the row-based table. Vertical switches to the column-based layout when the current file supports it. Choosing either returns from Preview to the table. If Vertical is absent, that file structure supports only the horizontal table.
Preview
Switches from the table to the file's Preview. Preview and the table use the same Source and Target content; the available preview and editable areas depend on the file type.
Side panel
Shows or hides the right-side workspace containing AI Agent, Assets, Metadata, and History. Hiding it preserves the file content and gives more width to the table or Preview.
AI Agent
Expands or collapses the AI Agent section in the side panel. This toggle does not submit a prompt or apply a suggested change.
CAT tool
Shows or hides the CAT assistance tool in editable cells. It changes the editing aid that is visible, not the stored translation. The toggle appears only where the tool is available.

When a toolbar action is unavailable

Problem

Set Status says to select Source or Target only.

What to do

Clear the mixed selection, then select cells from one side only. Source Status and Target Stage have different options and cannot be applied in one action.

Problem

Commit does nothing for some selected rows.

What to do

Check that the selection contains Target cells with text or a draft and that the rows are editable for you. Approved, Locked, or user-locked rows are skipped.

Problem

TM Pre-fill reports no eligible rows.

What to do

Check the active Target language and selection. Pre-fill accepts only empty editable Target rows with no draft; clear the selection to check the whole file, or select different Target rows.

Problem

Vertical layout is not shown.

What to do

Use Horizontal for this file. Vertical is shown only when the file's structure supports the column-based layout.
