Business templates

Manage reusable quote layouts and email messages in one organization-scoped library while preserving their different save, default, and deletion behavior.

Access and library layout

Open Workspace, select an organization, then choose Business > Templates. The same organization Business-access rules used for Partners apply; templates never cross organization boundaries.

  • Use the type selector to show all templates, quote templates, or email templates. The count reflects the current filter.
  • The left pane lists templates by most recently updated, with type and Default badges; the right pane edits the selected template.
All / Quote / Email
Filters the left list by template type; the number beside the selector is the count currently shown.
Default badge
Identifies the template selected as the organization's default for that template type.
Reset
Returns the open email form to its last saved values; it does not delete the template.

Build quote templates

Choose New > Quote to open the quote-template editor. Build the reusable sections and layout used in quote preview and PDF output. Recipient details and the values for a particular quote are entered when that quote is prepared in Reports.

When the editor offers images or document assets, add them through the template editor and save before leaving. Reopen the template to confirm that the asset and layout still appear in Preview.

Build email templates

  1. Choose New > Email and enter a required template name, subject, and message body.
  2. Use Insert quote to add ##quote## where the selected quote report should appear.
  3. Use Insert price to add ##price##, which is replaced with each vendor's matching purchase price when the message is sent.
  4. Optionally mark the template as the organization's default, then save.

After completion: The email template appears in the left list with its name, Email type badge, and Default badge when selected as the default.

Defaults and save behavior

Quote and email templates share one library but are saved and removed differently. Each active template type can have one organization default; selecting a new default replaces the previous default for that type.

Save adds the selected template to the organization library or updates it. A success message confirms the change; if an error is shown, keep your unsaved text and resolve the reported field or access problem before retrying.

Archive or delete templates

  • Deleting a quote template archives it. Existing report quote references remain distinct from the reusable library entry.
  • Deleting an email template is permanent. It removes the saved starting point but does not recall or alter messages that were already sent.

Problem

Save is disabled

What to do

For an email template, enter a non-empty Name. For a quote template, complete the required fields shown by the quote editor, then try Save again.

Problem

A template is not shown

What to do

Change the type selector to All and confirm that the workspace selector points to the organization where the template was saved. Use the displayed error message before retrying if loading failed.

Problem

Reset removed unsaved changes

What to do

Reset intentionally restores the last saved email template. Re-enter the changes and choose Save before selecting another template or leaving the page.
